Approval Workflows
Dime.Sheets includes a built-in approval workflow that ensures time entries are reviewed before they are used for billing or ERP synchronization. This provides accountability and data quality across your organization.
How approvals work
The approval process follows a simple flow:
- User logs time -- Time entries are created in Draft status.
- User submits -- Entries move to Submitted status, signaling they are ready for review.
- Manager reviews -- Managers see submitted entries in the Approvals queue and either approve or reject each one.
- Approved or rejected -- Approved entries are locked and marked ready for downstream processing. Rejected entries return to the user with comments for correction.
Who can approve?
Approval authority is determined by role:
- Managers can approve time entries for users they manage.
- Project Managers (a project-level role) can approve time entries logged against their specific project, regardless of their organization-wide role.
- Administrators can approve any time entry in the organization.
The Approvals page
Managers and administrators see an Approvals page in the sidebar. This page shows all time entries pending review, organized by team member and week.
For each entry, the reviewer can see:
- The team member's name
- Project and task
- Date and duration
- Description (if provided)
- Submission timestamp
Bulk actions
To speed up the review process, managers can:
- Approve all entries for a specific user and week in one action
- Select multiple entries and approve or reject them together
- Filter by project, user, or date range to focus on specific entries
Rejecting entries
When rejecting an entry, the manager must provide a comment explaining what needs to be corrected. The user receives a notification and can view the rejection reason alongside the entry.
Rejected entries return to Draft status (shown as Rejected for clarity), allowing the user to edit and resubmit them.
Approval history
Every approval action is recorded in the approval history log, capturing:
- Who took the action
- What action was taken (approved, rejected)
- When it happened
- Any comments provided
This audit trail is visible to administrators in the Settings > Audit Log section and is retained for compliance purposes.
Locking approved entries
Once approved, time entries cannot be edited or deleted by the user. This prevents changes to data that may have already been synced to an ERP system. Administrators can reopen approved entries if corrections are necessary.
